Policies for art classes.

Attendance: We encourage students to be present for their art classes. It is understandable to occasionally miss a session and instructors will make the effort to quickly catch up a student. The Art Instructors submit schedules months in advance and are unable to extend classes or offer additional time for individual student absenteeism.

Refunds: Keep in mind that our art classes run based on minimum enrollment agreed upon by the art instructor. We encourage you not to cancel for this reason. Certain classes will not permit a refund for various reasons. We do realize emergencies happen and sometimes a cancellation is necessary. We will ask students to transfer their tuition to a different class at a more convenient time. We request 2 weeks notice for a refund, less a cancellation fee. Call 304-637-2355.

Health and Wellness: If you or your child is sick, stay home. When students are healthy they focus on their art projects in class. To avoid passing on a virus, it is best to stay home if you are sick. Stay active and create art!

Weather in Elkins, WV: The Arts Center and our instructors made a commitment to a class schedule months in advance. It is your choice to attend or skip class. If severe or inclement weather is observed, the art instructor will notify their students that class is cancelled and will offer a make up session at a later time. Do not assume we cancel classes based on weather.

After School Art Policies:
Snow Days
-After School Art does not run if there is a public school snow day.
Early Dismissals-Schools dismiss early for various reasons, but it will not affect our After School Art Program. No bus, parent drop off.
Sick Students: Sick students will be sent home from After School Art. The instructor will call you to pick up your child.
Drop Off Minors: Walk young children to class. The Arts Center is not responsible for children that walk to and from class independently.
Remind App: We send 99% of our notices via the Remind app.

Photo Release Policy for Randolph County Community Arts Council

1. Purpose:

The purpose of this Photo Release Policy is to outline how RCCAC will handle photographs and other visual media involving individuals, including beneficiaries, volunteers, staff, and other stakeholders. This policy ensures that all visual content is used in a manner consistent with the RCCAC’s mission while respecting the rights and privacy of those photographed.

2. Scope:

This policy applies to all photographs, video recordings, and other visual media created or obtained by RCCAC for promotional, educational, and informational purposes.

3. Consent:

  • General Consent: By participating in RCCAC events or activities, individuals grant permission for their likeness to be used in photographs, video recordings, and other visual media.

  • Specific Consent: For specific projects or purposes, written consent may be required.

4. Use of Photographs:

  • Internal Use: Photographs may be used internally for purposes such as training, internal communications, or organizational records.

  • External Use: Photographs may be used in external communications including but not limited to the RCCAC’s website, social media platforms, newsletters, annual reports, and promotional materials.

5. Privacy and Confidentiality:

  • Personal Identifiers: RCCAC will avoid using personal identifiers (e.g., full names, specific locations) without additional consent. When names are used, it will be done with care and respect.

  • Sensitive Content: RCCAC will avoid photographing individuals in situations that could be deemed sensitive or private, unless explicit consent is given.

6. Opt-Out Procedure:

  • Individuals who do not wish to have their photographs used or who wish to withdraw previously given consent may contact the RCCAC via phone, email, or in-person. RCCAC will make reasonable efforts to accommodate such requests.

7. Attribution and Credit:

  • When using photographs, RCCAC will provide appropriate credit where possible, acknowledging the photographer or source if required.

8. Review and Updates:

  • This policy will be reviewed annually and updated as needed to ensure it remains compliant with relevant laws and best practices.
